PRIMARY PURPOSE:
Positively impact the efficient operation of the District and contribute to efficient and effective flow of information and communication. Provide a wide range of clerical tasks and provide courteous assistance to all AISD employees, applicants, and the general public.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or equivalent
Typing test >40 WPM required
Special Knowledge/Skills:
Excellent communication skills (both verbal and written), time management and interpersonal
skills
Working knowledge of data processing systems and applications
Excellent telephone skills and etiquette
Thorough knowledge of Microsoft Office Suite including Publisher and Excel
Proficient skills in typing, word processing, data entry, scanning and file
maintenance
Ability to operate computer and other office machines
Ability to multi-task and prioritze
Ability to maintain a helpful, friendly demeanor while under pressure
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting and/or standing, occasional bending/stooping, pushing/pulling, and
twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional

Have appropriate clerical or secretarial experience as required by supervisor
MAJOR RESPONSIBILITIES AND DUTIES:
- Serve as District and HR receptionist to the public, professional clientele, students and parents.
- Receive and direct incoming calls for both Human Resources and the ESC, take reliable messages, and route to appropriate staff.
- Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
- Monitor the safe and secure entrance to the ESC and admit entrance to the building upon identifying the purpose and/or notifying the appropriate department.
- Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
- Provide excellent customer service by knowledge of AISD campuses/departments.
- Operate a telephone switchboard to relay incoming calls.
- Monitor visitor safe and secure access and direct visitors to the appropriate location.
- Verify I-9 documentation for all newly hired employees.
- Assist employees, applicants, or the general public by phone or in person.
- Assist employees and applicants with completing applications and required paperwork.
- Receive phone calls, applicants, appointments and drop-ins for personnel directors.
- Assist in reviewing paraprofessional applications for required documents.
- Assist current employees with questions regarding the resignation process.
- Assist prospective employees with questions regarding the application and onboarding process.
- Scan required onboarding documents and notify HR Specialist.
- Receive all outgoing central office mail daily; meters postage on authorized material; get mail ready for Pre-Sort Service.
- Maintain and safeguard central office postage meter and keeps an accurate accounting for all postage spent.
- Issue badges to ESC personnel and substitute teachers.
- Maintain confidentiality.
- Follow district safety protocols and emergency procedures.
- Ensure compliance with all local policies and state and federal statutes including the Educator Code of Ethics.
