PRIMARY PURPOSE:
Effect the efficient operation of office routines and practices associated with a busy, yet productive and smoothly run office, contributing its effective part in operation of the student records at the high school level.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or equivalent
Special Knowledge/Skills:
Typing test reflecting > 40 WPM - required
Maintain accurate and auditable records
Use software to develop or maintain spreadsheets and databases and do word processing
Proficient file maintenance skills
Basic math skills
Strong organizational, communication, and interpersonal skills
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching
Lifting: Occasional lifting and carrying (less than 40 pounds)
Environment: May work with frequent interruptions; Must maintain professional demeanor under stress; Must have problem solving skills
Regular attendance is an essential function.
Minimum Experience:
Have appropriate clerical or secretarial experience as required by supervisor.
MAJOR RESPONSIBILITIES AND DUTIES:
- Type new transcripts on incoming students and provides copies to counselors.
- Make grade level changes when necessary.
- Maintain file in vault i.e., check incoming middle school records; shift files annually and move retainees to proper grade level.
- Send proper year records to Education Support Center.
- Keep transcripts up-to-date with labels, summer school grades, etc.
- Answer incoming phone calls on student’s records.
- Follow-up on withdrawals.
- Work with transfer students, PEIMS, migrant students, and selective service.
- Enter all transfer grades on computer and notify teachers of incoming grades.
- Enter flex, pass and homebound grades.
- Update student information.
- Compile six weeks, honor rolls, and incomplete grades reports.
- Compile, maintain, and file all reports, records and other documents as required.
- Make all contact with Office of Technology with problems, etc.
- Process labels on transcripts and file test copies.
- Complete any survey pertaining to ethnic or student numbers.
- Order senior diplomas, distribute caps and gowns to teachers, and work on senior graduation program.
- Work with counselors and teachers to resolve grade discrepancies.
- Follow district protocols for student waivers to maintain correct documentation.
- Be familiar with and follow all FERPA laws and requirements.
- Maintain confidentiality of all information and student records.
- Follow district safety protocols and emergency procedures.
- Ensure compliance with all local policies and state and federal statutes including the Educator Code of Ethics.
- Perform such other tasks and accepts such other responsibilities as may be assigned.
