PRIMARY PURPOSE:
Effect the efficient operation of office routines and practices associated with a busy, yet productive and smoothly run office, contributing its effective part in operation of the Benefits Department.
Implement the district’s workers’ compensation program according to established policy, rules, regulations and laws. Efficiently process workers’ compensation claims and provide timely notification and communication with employees, supervisors, and insurance carrier regarding workers’ compensation claims.
QUALIFICATIONS:
Minimum Education/Certification:
High school diploma or equivalent
Typing test >40 WPM required
Bilingual (Spanish) preferred
Special Knowledge/Skills:
Typing test reflecting > 40 WPM – required
Bilingual (preferred)
Knowledge of administration of workers’ compensation program and applicable laws
Maintain accurate and auditable records
Knowledge of administration of leave programs and applicable laws
Ability to interpret and disseminate information to individuals and groups
Effective communication and interpersonal skills
Proficiency in keyboarding and file maintenance
Ability to use software to develop spreadsheets, databases, and do word processing
Knowledge of basic accounting principles
Work Conditions:
Tools/Equipment Used: Standard office equipment including personal computer and peripherals
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions including prolonged keyboarding & use of mouse; occasional reaching
Lifting: Occasional lifting and carrying (less than 40 pounds)

Regular attendance is an essential function.
Minimum Experience:
2 years clerical experience, preferably in a public school and/or health/benefit environment, preferred
2 years workers’ compensation claims administration experience preferred
MAJOR RESPONSIBILITIES AND DUTIES Workers’ Compensation Administration
- Receive and process accident reports and workers’ compensation claims.
- File all insurance forms and Texas Department of Insurance, Workers’ Compensation Division (DWC) reports including wage statements, first report of injury, supplement reports, and job information in a timely manner.
- Establish and maintain contact with injured employees and provide assistance with claims and obtaining health care as appropriate.
- Communicate with workers’ compensation insurance carrier, doctors, nurses, and health care providers to enable appropriate processing of claims.
- Work closely with adjuster, campus/department secretaries, supervisors, and administrators to facilitate reporting work-related illnesses and injuries.
- Assist Human Resources in the development of ADA plans if needed.
- Communicate with supervisors about workplace limitations and modifications.
- Work with leave and benefit specialists to ensure appropriate use and access to applicable leave and insurance benefits.
- Assist Director of Benefits to prepare for DWC conferences and hearings.
- Communicate and track worksite safety education and training for employees.
Records, Reports, and Correspondence
- Prepare correspondence and forms.
- Compile, maintain, and file all reports, records, and other documents as required including workers’ compensation records and confidential medical certifications.’
- Collaborate with the Benefits and Human Resources departments to analyze absence patterns.
Benefits Additional Responsibilities
- Perform data entry related to the Dental Reimbursement Program.
- Answer the department main phone line and assist employees.
- Forward calls, take messages as appropriate.
- Monitor the Benefits Department general email and answer and/or forward as appropriate.
- Sort and deliver US and Intern Department mail.
- Provide back up support for the Employee Leave Specialist.
- Assist with Benefits Open Enrollment as needed.
- Assist with the coordination of blood drives, flu shots and other services as needed.
- Maintain confidentiality of all departmental information.
- Electronically file documents as required by this position.
